Executive Operations Lead


Are you an organised and proactive professional who enjoys coordinating complex activities and supporting high-level decision-making processes? Do you have strong communication skills and the ability to translate strategic priorities into concrete actions?

LIH is seeking an Executive Operations Lead to support the effective functioning of the Executive Committee (Execom). The role will contribute to the planning, coordination and follow-up of Execom activities, ensuring that decisions and priorities are translated into concrete actions and implemented efficiently across the organisation.

The successful candidate will work closely with the Executive Committee and senior leadership to ensure smooth coordination of governance activities, support strategic communication, and contribute to the continuous improvement of internal processes.

Key Accountabilities

Executive Committee coordination

  •  Drive  the preparation, organisation and follow-up of Executive Committee meetings, ensuring effective coordination of agendas, documentation and action points.
  • Monitor the implementation of Execom decisions and ensure timely follow-up of priorities and commitments.

Governance and Board support

  • Coordinate the preparation of Board of Directors meetings, including agenda planning, briefing materials and documentation.
  • Ensure the accuracy, completeness and timely distribution of governance documents.

Operational coordination

  • Contribute to improving the effectiveness and efficiency of Execom working methods by identifying opportunities to streamline processes and procedures.
  • Support the translation of strategic priorities into operational follow-up and cross-departmental coordination.

Communication and stakeholder coordination

  • Prepare briefing notes, presentations and communication materials supporting the internal and external engagement of the Executive Committee.
  • Facilitate coordination and information flow between leadership, departments and key stakeholders.

Key Skills, Experience and Qualifications

Background

  • Relevant professional experience in areas such as executive coordination, project management, governance support or organisational operations.
  • Proven ability to manage complex projects involving multiple stakeholders.
  • Experience in navigate complex stakeholder environments. Comfortable engaging with governmental bodies, universities, hospitals and research partners in a professional and diplomatic manner.

Skills

  • Excellent command of English (written and spoken) and fluent in French and/or German;
  • Strong coordination and communication skills, with the ability to interact effectively with senior stakeholders and synthesize complex information.
  • High level of professionalism, discretion and reliability.
  • Proactive and solution-oriented mindset, with the ability to anticipate needs and address issues in a timely manner.
  • Excellent organisational skills and attention to detail.
  • Ability to manage multiple priorities and deliver high-quality work in a dynamic environment.
  • Strong analytical and problem-solving skills.

Qualifications

  • Certification in project management and proficiency in project management tools and software is an asset.
