The Research and Administrative Officer is mainly responsible for: 1/ Carrying out administrative and research project management tasks related to Transversal Translational Medicine (TTM) Programmes. - 2/Offering an appropriate support to the Director of Transversal Translational Medicine (DTTM) and his/her team by performing various administrative duties.

Key Accountabilities
  • Centralize and manage requests by order of priority.
  • Support director of DTTM with agenda management, screening calls and emails, travel and meeting organization.
  • Support team members with travel arrangements.
  • Prepare files for meetings (agendas, accompanying documents etc.) then perform the subsequent administrative work including writing the minutes and assigning the ensuing tasks etc.
  • Provide support in meetings and events organization (workshops, conferences, visitors etc.)
  • Draft purchase orders and follow-up on deliveries, including office supplies.
  • In collaboration with the Strategy Manager and Project Managers.
  • Support in monitoring project activities, deadlines, go-no go points and budget allocations.
  • Centralize and track documents such as research-related KPIs in a database, in accordance with TTM’s standard operating procedures.
  • Upon request of DTTM or relevant team members, prepare documents related to research activities, such as grant application documents, DTTM’s CV and formal letters.
  • Offer writing, proofreading, organizational and logistic support to the TTM team.
  • Support TTM team by interacting with LIH’s other researcher groups, groups within TTM, and their academic or industrial partners, and by interacting with funding agencies.
  • Assist other directors if the Executive Secretary is absent. 
  • Min. Bachelor’s degree in assistantship or Project Management.
  • Experience of at least two years as an administrative assistant or a project assistant.
  • An experience of project coordinator could be an asset.
  • Ability to prioritize tasks and work in full autonomy.
  • Ability to adapt to a fast-paced research environment within a small team.
  • Excellent written, communication and interpersonal skills.
  • Excellent relational skills, customer service skills, good listening skills, discretion.
  • Good organizational skills, precision, meeting of deadlines, punctuality and flexibility
  • IT skills: Word, Excel, Outlook, PowerPoint, IE.
  • Languages skills: Fluent English and good command of French or German. Luxembourgish is an asset.

2-year fixed term contract - Full time - Start date: as soon as possible
