HR Officer and Project’s Coordinator - DR1217

The human Resources Project’s Coordinator will provide HR reporting on key Figures on the Institution when required (from HR Team, Management Board, Ministries, etc.); actively participate to HR projects on a short, mid or long term period and follow them to make sure it remains up-to-date; advise employees in response to their request (any questions on arrival) and be the backup for other HR Administrative Team members when required.

                    Key Accountabilities
                    - Assist with the day-to-day activities of the HR office.
                    Maintain employee files and the HR filing system.
                    - Collaborate and follow-up on HR Projects: prepare and monitor satisfaction Surveys, track and report attendance to training events (e.g. New Hires onboarding program, mandatory training plan, etc.).
                    - Follow up administration of the master training plan (invoicing follow up, input and tracking of attendance lists, follow up of professional certification, etc.).
                    - Update daily HR databases, wages and time management as well as the usual HR tables.
                    - Collaborate to the administration of the HR systems (input of employee’s data, input of training data, appraisals, etc.).
                    - Welcome new collaborators: Contract explanations and signature.
                    - Prepares and maintains reports that are necessary to carry out the functions of the Human Resources department: carry out monthly reporting (statistics analyses and social report and any other internal/external reporting needs)
                    - Prepares periodic reports for management, as necessary or requested.
                    - Draft contracts and addendums, any type of seasonal contracts and conventions for scientific visitors and trainees (prepare and manage complete files in accordance with the Labour Law and HR process in place at LIH).
                    - Advise and Control the respect for Labour Law and Social Security.
                    - Carry out residence and work permit applications and ensure comprehensive monitoring, carry out insurance coverage to visiting scientists.
                    - Minimum of a Bachelor's degree or equivalent in Human Resources, Business, or Organization Development.
                    - Professional experience of at least 2 years in a similar position. Good knowledge of project management in HR is considered an asset.
                    - Skilled with numbers, versatility in HR administrative matters.
                    - Knowledge of and interest in legal aspects relating to employment contracts, social security and public bodies in Luxembourg.
                    - Excellent communication and interpersonal skills, autonomy, responsibility, good listening skills, flexibility.
                    - IT skills: Word, Excel, PowerPoint.
                    - Skills in database management and record keeping.
                    - Language skills: good command of French and English, knowledge of Luxembourgish and German is an asset.
                    - Able to exhibit a high level of confidentiality.
