Partof the HR team, the HR & Training Officer is in charge of the complete administration of temporary staff at LIH,  such as trainees, summer students andvisiting researchers and support the Training and Competencies Manager in thedevelopment and implementation of the training master plan.

Key Accountabilities
Temporary staff Administration
  • Carry out the recruitment process for trainees and summer students: (Check the budget, write the job adverts with managers, publish the internship or student job, select the applicants and perform the interviews with the selection committee).
  • Assist with the VISA application and welcoming process.
  • Handle the complete admin process for the hosting-/ internship agreements and summer student contracts (prepare complete files in accordance with the labor law and HR processes at LIH).
  • Register personal data in our database and update the respective files and HR tables.
  • Perform a regulatory watch on labor law and keep internal clients informed.
  • Manage off-boarding of temporary staff and draw up relevant attestations/ certificates.
HR and Training Administration
  • Support the on-boarding of all new staff: announcement of Newcomers, organization of the Newcomers day.
  • Be in charge of the HR reports for Management, Scientific Departments and external institutions (Ministries, etc.).
  • Answer questions and provide advice to employees and temporary staff on the implementation, application and management of HR & Training related procedures and processes in accordance with the HR strategy, labor law and the training masterplan.
  • Follow-up administration of the Training Master Plan (invoicing follow-up, input and tracking of attendance lists, follow-up of professional certification, individual training/ linguistic leave).
  • Collaborate and follow-up on Training projects: select providers, take care of the logistic organization, track and report attendance, prepare and monitor satisfaction surveys.
  • Constantly improve internship and training processes, procedures and documents to use.

KEY SKILLS, EXPERIENCE AND QUALIFICATIONS
  • Bachelor’s degree or equivalent in the field of Human Resources (psychology, HR, etc.), Business, Administration, Legal orientation.
  • Professional experience of at least 2 years in a similar or related position.
  • Eagerness to learn and demonstrate a high level of confidentiality.
  • Skilled with numbers, database management, versatility in HR administrative matters, accuracy.
  • Knowledge of and interest in legal aspects relating to employment contract, social security and public bodies in Luxembourg.  Good understanding of GDPR in a HR environment.
  • Responsiveness to internal client and assertiveness while maintaining a client orientation spirit.
  • Agility to manage workload and respect deadlines, adaptable to changes of priorities.
  • Excellent communication and interpersonal skills both oral and written, autonomy, problem solving attitude, critical thinking, sense of responsibility, confidentiality, availability.
  • IT skills: good knowledge in Word, Excel, PowerPoint and new social/communication media.
  • Languages skills: fluent written and spoken French and English.  Additional national (German, Luxemburgish) or other languages are assets.
